Documents and Files

Does the CEE Documents and Files system version the documents?

No, but this is a much requested feature that is on the roadmap for a future release. If you want to version files in the any current version of CEE, you can use the 'Document' component on a project page added using the Project Content Editor. This widget allows you to upload documents through UI and these documents are committed to the Subversion repository.


What is the difference between advisory warning and strict type reservations?

If a project owner applies a strict lock on a file, the developers in the project cannot edit the file. An advisory warning allows editing of files. It just serves as a warning that it may not be advisable to edit the file. The file remains editable.


What does the ‘Move up’ option do while deleting a folder in a folder tree?

When a folder in a tree is deleted, the Move Up option provides you the ability to move the contents of this folder to the root folder before deletion.


Why should I use 'Documents and files' instead of sharing files using e-mail?

Sharing files using the Documents & Files component within CollabNet Enterprise Edition accomplishes the following:

1) The files which are marked "confidential" can be securely transferred to all users without needing to enable complicated email encryption, or the default, transmitting them "in the clear".

2) Documents & files does not depend on email client capacity

3) Instead of everyone keeping a copy of the message with all the files in their email AND a separate copy of the files in a directory on their computer, the (small) email message can contain a reference to the original source of the files. 4) Users can choose which files to download, so they only need to take the time to download those they really need instead of waiting for the mail update process to pause while the server downloads the entire set of files.

5) Users can view the files from anywhere, where they have access to the internet.

6) Visibility of email message is limited to the addressees and the users CCd on the email. 'Documents & files' serves as the central archive for all users including those who joined at a later date


Discussion Services

Why has CollabNet combined mailing lists and discussion forum tools in version 5.0 of CEE?

Mailing lists existed outside the protection of CEE's project permissions system and they have significant functionality overlap with discussion forums. We wanted to merge these similar tools so that the users of each would have a single discussion capability with the best features of both products.


What will happen to my existing mailing list and discussion forum archives?

When you migrate to CEE5.x all existing messages in both of these tools will be migrated into the new discussion service.


What about bookmarks to existing messages?

Existing message URLs will continue to work to access migrated messages from the archive. These messages will also have new format URLs as will all new message postings.


What happens to the subscription to discussions when the e-mail address of a user is changed in the User Profile?

In Discussions, usernames are used for subscription and not the email address. Hence a user profile and subscription to discussions are tightly bound. When the user changes his e-mail address in the user profile, it is reflected in the subscription. If a user is deleted, the subscription is canceled as well.


Can I reuse a deleted discussion's name?

Yes, you can reuse the name of a deleted discussion. It is even possible to reuse the name of an existing discussion. However, every discussion gets a unique email address which cannot be reused even after the discussion is deleted.


What are the sorting options in a Discussion?

The topics in a Discussion can be sorted by:
1) Topic
2) Started by
3) Messages
4) Latest post
5) Author (Username)
6) Full name
7) Month


Who is a trusted poster?

A user who has the "Discussion Trusted" permission is a trusted poster. Only a trusted user can post to a moderated mailing list by bypassing the moderator. Messages posted by other users would need to have those posts approved by the moderator.


How can access to a discussion be restricted?

Mark the discussion as private. Then, only users having the 'Discussion Use Private' permission can access the discussion.


How can you self-subscribe to a discussion?

Click on the “manage my subscriptions” link on the page listing the available discussions for the project and enable the check box for the discussions to which you want to subscribe.


How does the prefix work in Discussions?

In Discussions, the prefix is added only to the subject of new topics. This causes the prefix to appear in replies if the author uses the mailer’s default subject (e.g. Re: [prefix] Subject). No additional prefixes are added to replies once they reach the discussion service.


Wikis

I want to add 2 spaces between my last paragraph and my next one

You can force the wiki to respect the spacing you’re looking for by putting 3 brackets surrounding the areas you want spaced (See the HelpOnParsers wiki page)


I want to use a word with Camel Case format (like CollabNet) in my wikipage without having wiki assume it's a wiki page

To escape a WikiName, i.e. if you want to write the word WikiName without linking it, use an "empty" bold sequence (a sequence of six single quotes between the 2 parts of the Camel Case). Alternatively, you can use the shorter sequence (two backticks between the 2 parts of the Camel Case) (See the WikiName wiki page for more info)


Is it possible to have a wiki page or its content as a Project Page component?

Unfortunately, this is not currently possible, but it is on the roadmap for the next major CollabNet release


Is there a way to move or copy a set of wiki pages from one CEE project to another?

This is not a basic user function but it can be performed by putting through a support request and having CollabNet operations do this on the server side


What is the "Remove training whitespace button" all about?

You won't really be able to see any difference when viewing the page, only when you go back to edit it. To test it, edit a page, add some text with extra spaces at the end, like "hi there! " (don't include the quotes of course). Select the checkbox and save it. Go back to edit the page and you'll see that the trailing whitespace is not there, i.e. you'll only have "hi there!"


Is there a way to add more Icons or are there more that we can use outside of the ones on HelpOnIcons?

There's no way to add it as a CEE user. Your only other option is HelpOnMacros/ImageLink


Announcements

I want to place the latest announcements on my project home page. How do I achieve this?

You can use an RSS-2-javascript tool like http://rss-to-javascript.com/ which will convert the RSS to javascript which can then be added to the project’s index.html page. In such a service, you have the option to specify how many announcements must be listed in the project page. Setting this option to 1 will place the latest announcement on the project home page.


What time do announcements get published when a publish date is specified?

If the announcements get added on 14th November, 15:00 and the publish date is set to 17th Nov, the announcements get published on 17th November, 15:00 and not 00.00 hrs. The same is the case when removing the news items.


What is the difference between event and publish date for an announcement?

The event date is the date of the event that is being announced. The publish date is the date on which the news is actually published and the news item can be seen by all (in the Start Page as well as Announcement page).


What happens to the news items that are 'removed'?

The announcements that are removed are suffixed with the flag 'removed'. Only a project owner/domain admin can view these announcements from the Announcements page of the project. They are not available on the Start page.


Is it possible to "publish" project announcements dynamically on any selected project page?

To publish project announcements dynamically, you can use RSS feeds. You can choose a service that converts RSS feeds to java script (for eg: www.rss-to-javascript.com/). This will convert the RSS feed to a javascript that can be placed in your HTML file (index.html, htmlsnippet files etc). This will always fetch the latest announcements .


What is an RSS feed and where can it be used?

The initials "RSS" are used to refer to the following formats: - Really Simple Syndication (RSS 2.0) - RDF Site Summary (RSS 1.0 and RSS 0.90) - Rich Site Summary (RSS 0.91) RSS is an XML based format. An RSS file (also known as an RSS feed or RSS channel) consists of a list of items, each of which contains a title, description and a link to a web page. Typically, the full content itself is made available separately and can be accessed by the link in the RSS file. The use of RSS feeds include new content being easily integrated into web pages and available to end users pronto.


What are the acceptable HTML tags that can be used in CEE?

HTML, without XSS scripting tags, can be passed to the browser from specific areas of the application. To prevent cross-site scripting security issues, each HTML submission is passed through a filter that detects scripting tags. Most ?CollabNet pages use this filter, so that all user-supplied HTML is escaped, except where it is explicitly allowed.
